Robert Half International is currently recruiting for a temporary PA / Diary Secretary to assist with a public sector organisation based on the Liverpool.
The Role
Job Summary/Purpose: The function of the Private Offices is to provide managerial and administrative support to the Chair and Chief Executive and Non-Executive Directors. The post holder will act as a primary point of contact for the Chief Executive with regards to diary commitments. The post holder will undertake a wide range of administrative tasks, including organisation of events and meetings and preparation of briefings and presentations. Principle Duties and Responsibilities1. Specific Delegated Projects:1.1 Proactively manage and plan the diary for the Chief Executive, including arranging meetings and where required, booking meeting venues and facilities.1.2 Proactively manage the Chief Executives bring forward system ensuring that paperwork is available in advance of meetings.1.2.1 Manage the forward planning system for the Chief Executive to ensure that deadlines are met by other team members and colleagues in other directorates or teams.1.3 Provide and receive complex information, making decisions as to the priority of appointments and subsequent rescheduling. This may include a range of different priority appointments, all seemingly as important. The post holder will be required to work with colleagues, predominantly the Executive Assistant/Team Leader, to identify a solution.1.4 Maintain an accurate and up to date database of contacts for the Chief Executive.1.5 Where necessary, co-ordinate communications to the Chief Executive liaising, as appropriate, with the Executive Assistant/Team Leader.1.6 Supporting the Executive Assistant/Team Leader in ensuring that the process for the Chief Executives annual performance review of PCT Directors, including scheduling meetings, is robust and is conducted within agreed time frames.1.7 Collate the weekly diary log for Chief Executive and Directors and ensure this is submitted to the Corporate Directors Group1.8 Conduct research and regularly compile briefings and presentations for the Chief Executive in conjunction with the Executive Assistant/Team Leader, using appropriate Microsoft Office software. 1.9 When required, assist in the management of the Chief Executives emails, persuading and motivating others to ensure follow up action takes place and deadlines are met. 2. Administrative 2.1 Organise diary and commitments of the Chief Executive including the scheduling of formal meetings and tele-conferences.2.2 As required, provide support to meetings attended by the Chief Executive including preparation of papers and minute taking.2.3 Assist in the drafting and preparation of documents and, as necessary, briefings for the Chief Executive and assist with any necessary research.2.4 Manage travel and accommodation arrangements specifically:· assess and make accurate judgement of the situation using effective time management skills to avoid disruption;· work within the budget to ensure cost-effective travel and accommodation;· track and monitor records for budget purposes;· calculate and complete all travel and accommodation expenses on relevant claim forms, ensuring they are completed and authorised within given deadlines.2.5 Maintain effective office systems, making maximum use of technology.2.6 Ensure that files and records are stored and retrieved appropriately in accordance with the companys Records Management Policy. 2.7 Ensure that correct company procedures are utilised when ordering goods and services.
